We are currently seeking a Personal Assistant to the Directors who can provide high-level executive and administrative support within a dynamic retail furniture and design environment. This role is for an excellent organized person with good time management skills and professional approach.

Position Overview
Key responsibilities

Manage and coordinate Directors’ calendars, appointments, and meetings

Prepare agendas, reports, presentations, and briefing documents
-
Take accurate minutes and follow up on action points
-
Arrange travel, accommodation, and itineraries as required
-
Act as the first point of contact for internal and external stakeholders
-
Draft professional correspondence on behalf of the Directors
-
Maintain confidential information with the highest level of discretion
-
Ensure follow-up on management decisions and assigned tasks
-
Organise board meetings, management meetings, and events
-
Maintain filing systems (digital and physical)
-
Track deadlines and ensure timely completion of tasks
-
Assist with special projects and strategic initiatives

Assist in the upkeep of the Company’s Policies & Procedures
Requirements

Excellent organisational and time-management skills
-
Strong written and verbal communication skills both in Maltese and English
-
High level of discretion and confidentiality

Ability to multitask in a fast-paced retail environment

Strong attention to detail

Problem-solving mindset

Proficiency in Microsoft Office and HR systems
-
This role is on a full time basis but reduced working hours would also be considered
Qualifications & Experience
-
Previous experience as a Personal Assistant or Executive Assistant

Experience in HR administration and/or property/facilities coordination is highly desirable
-
Diploma or qualification in Business Administration, HR, or related field (preferred)
